Post Submission Author Instructions

After the electronic submission, each contribution will be processed in the following ways:
  • Processing of the electronic files to a PDF document, compliant to the JACoW standards. This task is performed by the editors in the Paper Proceedings Office.

  • Refereeing of the contribution. This task is mainly performed by the International Program Committee. Each contribution will be refereed by a single referee. Only in the case of rejection of the paper by the referee, the contribution will be processed by a second referee.
    Note that for the FEL2004, a so-called light-refereeing policy will be applied. That is, referees will try to ensure that minimum standards and readability are maintained. It remains the authors responsibility to submit only novel and original work of sufficient scientific standards.

Authors can check the processing status of their contributions online through the web-pages for submission. During the conference, the author will be notified of the status through a message board near the registration desk in the main hall. The status is indicated with colored dots:
?No Dot The paper has not been processed by neither the editor nor the referee.
Black Dot The contribution will NOT appear in the proceedings for one of the following reasons:
i. The contribution was withdrawn by the author.
ii. Paper contribution not received.
iii. No presentation during the conference.
iv. Non-recoverable errors in processing the electronic files (this will be only applicable for errors that cannot be solved during or shortly after the conference).
v. The contribution was rejected by the referees.
Red Dot Resubmission of the paper is required. This can either be the case because the editor cannot process the electronic files, or because the referee suggests changes to the document. The author should contact the Paper Acceptance Desk.
Yellow Dot The editor used the source file to fix small problems, while processing the electronic contribution. The author should contact the Paper Acceptance Desk to proof-read in case things have inadvertently been changed.
Green Dot The contribution has been processed and will appear in the conference proceedings.

Note that refereeing process and electronic processing of files are performed in parallel. Hence, authors may have to contact the Paper Acceptance Office several times, depending on the outcome of each of the process lines.
